About the role:

The Procurement Administrator will join the team to support with a varied range of tasks that will see them facilitating and monitoring existing contracts, while also sourcing products and raising purchase orders. This Procurement Administrator role plays a critical part in maintaining supplier relationships, processing purchase orders, and ensuring existing contracted services are maintained in line with expectations. The Procurement Administrator will collaborate with our teams at site level, internally and with external suppliers to ensure smooth procurement operations.

Key responsibilities:

  • Monitoring food orders across the organisation - reconciling orders with invoices, completing monthly accruals, and liaising with other departments to ensure budgets are being adhered to.
  • Providing training sessions to new starters with the organisation to make sure our teams at home level are up to date on all procurement processes.
  • Oversight of our vehicle fleet - Ensuring records such as MOTs and tax are up to date and liaising with our drivers to book any ad hoc repairs as required.
  • Liaising with our sites to confirm requirements for furniture and curtain orders, and seek quotes and placing orders with supplier
  • Communication of all furniture orders and delivery dates to our homes, and to wider teams where necessary
  • Managing the service level of our waste collection provider.
  • Handling all requests for mobile phones, ensuring new devices are set up as required
  • Reviewing all internal cost sheets within the department to ensure invoices are being reconciled correctly, and completing monthly accruals as required.
  • Supporting the procurement manager with ad hoc tasks in relation to the commissioning of new homes.
  • Resolve any issues or discrepancies with suppliers in a timely and professional manner.

About you:

The successful Procurement Administrator will ideally have at least 5 years experience in an administrative role - experience in procurement is desirable but not essential. We require our Procurement Administrator to have experience with invoice reconciliation and a strong understanding of Microsoft Excel is essential. You will have strong written and verbal communication skills, preferably with experience in both customer-facing and business-facing roles as well as an excellent telephone manner and attention to detail.
