Executive Assistant CEO (International Art Gallery)

A wonderful role has arisen for an astute and highly organised EA at CEO level with top communication skills and Board Level experience. Working 1:1 with the CEO on all aspects of his busy and demanding day. A cv demonstrating a fast paced role within the arts if possible at CEO/MD level would be a major plus.

Supporting this charming and uber busy CEO who is taking the helm of this very successful and rapidly expanding gallery. The role is international in nature and client driven so you will be ambassadorial in style, be degree standard with top English skills written and spoken. Confident with charm you pre-empt problems and be able to keep on top of a changeable extremely diary that you will need to prioritise daily and run a schedule that the CEO needs to be prepared for. CEO level experience is required and 5 years+ in a senior fast paced role in a more creative field.

  • Inbox management

Some of the duties will include:-

  • Inbox management and responding to internal and external emails and drafting replies for approval.
  • Deal with all incoming requests and invitations composing correspondence
  • Be a strong gatekeeper, fielding all enquiries and prioritising
  • Organise a very busy and changeable diary and schedule. Meetings can be back to back so co-ordination has to be superb. Prep the CEO with any information and paperwork he may need for the meetings in advance
  • Deal with complex travel requirements both UK and aboard with detailed itineraries & travel packs and notes/briefings for each meeting.
  • Schedule all events for the CEO both internally and externally
  • Make all restaurant bookings, events and appointments are double checked
  • Advise CEO on a daily/weekly/monthly basis all forthcoming events and meetings & travel
  • Stakeholder management - liaise and build important relationships quickly both internally and externally.
  • Act as intermediary for the CEO with the Board and Senior Team
  • Extensive involvement in projects & tracking progress
  • Keep the CEO informed of any relevant changes in the company he should be aware of
  • Guest list management for business and private parties and events
  • Occasional private support when needed

This will always be an interesting and varied role with international exposure and the chance to meet/work with interesting people. Possible one day work from home when established.
