Key Responsibilities:
- Prepare the out-of-hours police station rota and fortnightly court lists.
- Allocate advocates to court cases, ensuring full coverage and adequate funding for each case.
- Maintain and update the trial diary and central case management system.
- Manage daily administrative tasks such as typing letters and attendance notes from a digital dictation system.
- Enter all future hearings and critical dates into central diaries, coordinating with Criminal Department fee earners.
- Chase CPS for case papers and promptly upload them to the Case Management System.
- Deal with incoming emails and client visits, ensuring all relevant information is up-to-date.
- Open Police Station files on the Case Management System for fee earners and agents.
- Handle incoming police station call-outs, maintaining and regularly updating the spreadsheet.
- Confirm any changes with Police and clients and manage client queries.
- Liaise with fee earners, handle new enquiries, and support the wider team in delivering high-quality service.
- Ensure Legal Aid is in place for all cases and that accurate time recording is maintained.
- Answer the phone and assist with general office duties when needed.
Requirements:
- Significant legal secretarial experience, preferably in criminal law.
- Highly organised, adaptable, and able to manage multiple priorities.
- Strong communication skills and excellent client care abilities.
- Familiarity with case management systems and digital dictation systems.
