Fulfilment Coordinator

We are seeking a dedicated Fulfilment Coordinator to join our team in High Wycombe. The successful candidate will be responsible for the efficient and accurate processing of customer orders, from initial contact through to delivery and invoicing. This role requires significant customer interaction, coordination with various internal teams, and detailed administrative tasks to support the fulfilment process.

Day-to-day of the role:

  • Discuss project requirements, equipment updates, and delivery schedules with customers.
  • Liaise daily with customers via email and telephone to ensure excellent service.
  • Input delivery dates against orders in Sage for equipment ordering and forecasting accuracy.
  • Review and process customer sales orders from the EMS system onto Sage, ensuring all details are correct.
  • Generate daily and weekly picking tickets, allocate stock, and prepare tickets for the Production Supervisor.
  • Coordinate dispatch scheduling by generating forecast schedules and project values for upcoming months.
  • Plan equipment dispatches based on incoming stock and project timelines.
  • Cross-check invoices against goods delivery notes, add invoices to Sage, and ensure they match delivery records.
  • Raise and send quotes for Return Merchandise Authorisations (RMA), coordinate with customers on replacements, and arrange fulfilment of replacement orders.

  • Strong attention to detail and organisational skills, with the ability to manage multiple tasks and deadlines effectively.
  • Ability to troubleshoot issues and find solutions quickly and efficiently.
  • Ability to work collaboratively with different departments and manage stakeholder expectations.
  • Strong customer service orientation with a positive attitude and proactive approach.
  • Willingness to adapt to changing priorities and work under pressure.
  • Basic finance and inventory knowledge/experience.
