Executive Assistant Manager - Graduate Role

MedConnect Europe, a leading student recruitment agency for medical and dental studies abroad, is seeking a motivated and ambitious graduate to join our management team. This full-time role involves supporting the directors with day-to-day tasks, including scheduling meetings, managing emails, drafting documents, and preparing materials for meetings. The ideal candidate will also ensure smooth operations, manage staff, and help implement organizational policies. We are seeking someone who is professional, vibrant, energetic and experienced to oversee our company's daily operations. The ideal candidate will be responsible for ensuring smooth operations, managing staff, and implementing organizational policies. They should be well-organized and be comfortable scheduling meetings and responding to emails on the executive's behalf. Lastly, this individual should be able to draft documents and help the executive with any necessary meeting preparations.

Key responsibilities include:

  • Work alongside company directors to develop and implement operational strategies to improve efficiency and productivity
  • Supervise and manage a team of employees, providing guidance and support
  • Monitor operational performance and recommend improvements
  • Ensure compliance with company policies and industry regulations
  • Ensuring all operations are carried on in an appropriate, cost-effective way
  • Purchase products, plan events, and oversee staff efficiency
  • Formulate strategic and operational objectives
  • Perform quality controls and monitor KPIs
  • Manage budgets and forecasts-Recruit, train, and supervise staff
  • Attend meetings with directors and implement action points and strategies as discussed in the meetings
  • Feedback information about staff performance and business processes to the directors during directors' meetings
  • Communicate with university staff and other required staff regularly on matters relating to the admission of students
  • Travel and Outreach to universities and government institutions to expand our network and portfolio.
  • Calendar management for executives
  • Aid executive in preparing for meetings
  • Responding to emails and document requests on behalf of executives
  • Draft slides, meeting notes and documents for executives

Qualifications:

  • Bachelor's degree or equivalent experience
  • Proficient in Microsoft Office suite
  • Experience in managing multiple priorities, administrative coordination, and logistics
  • Well-organized, detail-oriented, ability to multi-task with great follow-up skills
  • Strong written and verbal communication skills
