About the role

Working Monday to Friday 8am – 4pm, as the Vessel & Port Services Coordinator you will plan, administrate and support all arrivals and sailings by DFDS and third-party vessels, whilst ensuring that the correct administrative procedures are carried out for each vessel, with the correct documentation as operations require.

You will be responsible for:

  • Arrange and monitor all arrivals and sailings by DFDS and third-party vessels including customs clearance.
  • Ensure that arrangements for ships' berthings and sailings do not cause any unnecessary delays.
  • Inform and update other relevant departments of berthing, working, and sailing schedules, using verbal and written methods of communication.
  • Carry out all pre-arrival and post sailing function to issue and check all documentation.
  • Inform relevant internal departments of all arrivals, berthings and sailings.
  • Liaise with Pilotage authorities to ensure that all pilotage requirements and standards are met
  • Ensure that all suppliers' invoices are correctly received and processed for payment.
  • Issue invoices and carry out all other administrative procedures correctly.
  • Create and distribute statistical information for internal and external parties as required.
  • Monitor ships' schedules and advise the relevant authorities and customers of any delays or changes.
  • Assist department with unexpected issues that arise being Vessel & Port services
  • Adhere to all relevant policies, operating procedures, and standards at all times.

About you

We are seeking a candidate with excellent communication skills, both verbal and written, who is empathetic, visionary, and inspirational to those around them. The ideal candidate will be open, honest, and able to build trust with colleagues. They should be skilled in mentoring and supporting teams, fostering growth and development, and have a positive mindset focused on solutions and support. Flexibility and adaptability to environmental changes are crucial, along with the ability to engage and build relationships with colleagues and customers. The candidate must demonstrate high levels of organisational skills, empowerment, and initiative. Effective time management, the ability to work efficiently and closely with colleagues, and the capacity to create and maintain effective working relationships are essential. Additionally, the candidate should have a good understanding of data analytics, be computer literate, and have a good standard of education, including 5 GCSEs at Grade C or above
