Our award-winning client based in Glasgow City Centre is seeking a dynamic and highly organised Personal Assistant (PA) to join their team on a Fixed Term Contract basis for a period of 12 months. This role offers an exciting opportunity to work for a prestigious organisation specialising in professional financial services.
As a Personal Assistant, your main responsibility will be to provide exceptional support to senior management and leadership teams. You will handle a range of administrative tasks, including diary management, travel arrangements, email screening, minute taking, and general correspondence. The successful candidate will have excellent organisational skills and a proven ability to prioritise tasks effectively in a fast-paced environment.
Key Responsibilities:
- Provide comprehensive business support at director level.
- Format and type reports, correspondence, and documents.
- Manage diary, travel arrangements, and email screening for directors.
- Attend meetings and record concise minutes.
- Assist with corporate reception duties and serve as a contact point for telephone calls.
- Provide general business support across the department, including stationery management, couriers, document disposal, scanning, filing, and booking meeting rooms.
- Prepare documents following company branding and policies, ensuring timely delivery.
- Maintain audit and quality standards, including ISO27001 compliance.
Key Skills:
- Familiarity with ISO 27001 compliance (desirable).
- Previous experience in a senior level PA position within a professional firm (desirable).
- Excellent written and verbal communication skills.
- Advanced proficiency in Word, Excel, and PowerPoint.
- Strong experience handling confidential papers and information.
- Ability to prioritise workload and meet challenging deadlines.
- Self-motivated with a positive attitude and professional demeanour.
- Experience of minute taking at board level.
The working hours for this role are Monday to Friday on a rota basis between 8:30 am and 5:30 pm (37.5 hours per week). After the training period, hybrid working options will be available.
