TEAM ASSISTANT

This is an exciting temporary opportunity for 6 months for a global media company!

TEAM ASSISTANT ROLE:

  • Managing multiple diaries across internal and external meetings
  • Coordinating travel arrangements
  • Handling event management (both internal and external as required)
  • Maintaining workflow by studying methods, implementing cost reductions, and developing reporting procedures
  • Creating and revising systems and procedures by analysing operational practices, recordkeeping systems, forms control, office layout, and budgetary and personnel requirements; implementing necessary changes
  • Developing administrative staff by offering information, educational opportunities, and experiential growth
  • Resolving administrative problems by coordinating report preparation, analysing data, and identifying solutions
  • Ensuring operation of equipment by completing preventive maintenance, calling for repairs, maintaining equipment inventories, and evaluating new equipment and techniques
  • Providing company or project information by responding to questions and requests
  • Managing supplies inventory by checking stock levels, anticipating needs, placing and expediting orders, and verifying receipt of supplies
  • Completing operational requirements by scheduling and assigning administrative projects, expediting work results
  • Maintaining professional and technical knowledge by attending workshops, reviewing publications, establishing networks, and participating in professional societies
  • Contributing to team efforts by accomplishing related tasks as needed

TEAM ASSISTANT ESSENTIALS:

  • Minimum 12 months diary management experience
  • Strong Microsoft Suite experience
  • Experience working in creative industries
  • Experience supporting Director level
