Team PA - Head of HR

AJ Chambers are representing a highly regarded, International Law Firm based in the City of London, who are seeking an experienced PA in the BD and Marketing team on a 12 month FTC.

Reporting to the Head of Business Development and Marketing and the wider team to provide support in all aspects of their work.

The Role:

  • Full, extensive diary management for Head of Business Development, whilst also arranging ad-hoc meetings and organising room bookings for the wider Marketing Team.
  • Liaising with internal and external person/s for all meeting logistics and BD and Marketing team meetings and learning sessions including venue, attendance, refreshments and the distribution of materials.
  • Managing travel including visas and itineraries, where applicable.
  • Processing invoices, purchase orders and expense claims in a timely manner.
  • Responding to correspondence via post and email on behalf of your stakeholders.
  • Taking ownership and maintaining the relevant intranet pages, ensuring content is kept up to date and accurate.
  • Providing necessary documentation in a timely, efficient way for internal and external meetings.
  • Supporting the BD Partners as appropriate - there will be an expectation that the individual is fully integrated with the team and is able to pick up tasks and run processes where capacity allows.
  • General administration tasks including preparing documents, proof reading and the creation of PDF bundles.
  • Assisting with ad hoc administration and providing support to projects as required.
  • Comply with all relevant legal and regulatory obligations including the Solicitors Regulation Authority (SRA) Standards and Regulations, and Principles.

Skills & Experience:

  • Previous experience in a PA role to senior leadership teams is essential, ideally in a legal environment
  • A good working knowledge of Microsoft Suite, including Microsoft Outlook, Word, Excel and PowerPoint.

  • Maintaining confidentiality and discretion at all times.
  • Strong communicator able to work with senior stakeholders within the business.
  • Able to juggle priorities and adopt a flexible approach.
  • Proactive and demonstrable experience of using initiative and applies good judgement on when to consult.
  • Excellent attention to detail and accuracy**.**
