As a Property Administrator, you will play a vital role in maintaining the smooth running of their properties and ensuring tenant satisfaction. Job Title: Property Administrator

Location: Canterbury (Office based)

Hours: Monday to Friday, 08:30 - 17:00 (37.5 hours per week)

Salary: £25,000

Responsibilities:

  • Manage the maintenance inbox, addressing tenants' maintenance reports and general inquiries promptly.
  • Coordinate with contractors to complete maintenance tasks and schedule proactive maintenance activities.
  • Update the property system accordingly and recharge tenants for any applicable expenses.
  • Handle general property inquiries from tenants, whether in person or through email.
  • Greet walk-ins and assist with inquiries from potential new tenants when required.
  • Programme key fobs with correct tenancy dates and ensure all tenants have correctly programmed fobs.
  • Collaborate with agents to obtain previous tenant key sets and ensure proper programming for new agent's tenants.
  • Contact new tenants to arrange check-in dates and time slots.
  • Conduct quarterly inspections and manage all tenant general correspondence and inquiries.
  • Monitor electricity usage and notify tenants who are overusing electricity in accordance with their Fair Usage Policy.
  • Handle checkout inspections and reports, coordinate maintenance contractors and cleaners between tenancies.
  • Empty the postbox and distribute mail to inhouse mailboxes.

Accounts Administration:

  • Generate monthly utility bills for BB electricity and water, input them into the accounting system.
  • Upload supplier invoices onto the accounting system.
  • Update the system with rents, bills, and recharges paid by current tenants.
  • Input all agent rent statements into the accounting system.
  • Input all rents due into the accounting system.
  • Follow up with tenants who haven't paid recharges or utility bills.
  • Recharge tenants for callouts and ensure prompt payment.
  • Attend weekly meetings with the Ops Director to discuss accounts and debtors.

Ad-Hoc:

  • Assist with events and provide general administrative support as required.
  • Ensure the marketing suite is well-stocked and organised, including ordering supplies and liaising with cleaners to maintain cleanliness.

For this role you'll need to have:

  • Previous experience in property management or related roles is preferred.
  • Excellent organisational skills and attention to detail.
  • Strong customer service and communication abilities.
  • Microsoft Office Suite experience.
  • Knowledge of property management systems is a plus.
  • The ability to prioritise tasks and work independently.
