Job Overview:

We are seeking an organized and proactive Contracts Co-Ordinator to manage the planning and coordination of various projects. This role will involve working closely with work teams, clients, and project managers to ensure that all projects run smoothly, on time, and within budget. You will be responsible for producing labour schedules, maintaining communication with clients, and ensuring all safety documentation and work programmes are completed and up to date.

This is a varied role that offers the opportunity to be involved in everything from planning and scheduling works to compiling RAMS and safety documentation, and occasionally attending site to ensure quality, safety, and project progression.

Key Responsibilities:

- Planning and Scheduling:

Organize and schedule work teams for upcoming projects.

Attend weekly labour planning meetings to review and update team assignments.

Produce weekly labour sheets and forecast labour requirements for future projects, such as planned shutdowns.

- Documentation and Procedures:

Compile and update RAMS (Risk Assessments and Method Statements) and other safety documentation.

Develop or revise company procedures from a technical viewpoint to ensure they are aligned with best practices and regulatory standards.

Prepare plant, equipment, and materials lists in advance to ensure smooth project startup.

- Client Communication and Support:

Communicate regularly with clients via phone and email, keeping them informed of site arrival times, progress, and any potential changes.

Record and log conversations with clients for accurate documentation.

Provide technical support to work teams for any on-site issues that arise.

- Project Tracking and Reporting:

Collect daily diaries and photos from work team leaders, saving them in the relevant job files.

Create and monitor work programmes, measuring site progress against the project plan.

Track and record work variations, informing clients of any changes that impact the project scope or timeline.

- Team Coordination and Problem Solving:

Arrange and liaise with work teams on a daily basis to ensure smooth project execution.

Solve day-to-day issues that arise, ensuring projects stay on schedule and within budget.

Site visits to monitor safety, quality, and progress.

- Client and Team Meetings:

Attend pre-start site and progress meetings with clients to ensure alignment on project expectations.

Deliver toolbox talks to work teams to ensure everyone is aware of safety protocols and project requirements.

- Health & Safety:

Ensure compliance with safety regulations and compile necessary safety documentation.

Support the project management team during high-labour projects, such as planned shutdowns.

Key Requirements:

Experience: Proven experience in a Contracts Coordinator or similar role, preferably in construction, scaffolding, or M&E sectors.

Skills: Strong organizational and communication skills are essential. Must be adept at problem-solving and managing multiple tasks.

Software Proficiency: Familiar with Microsoft Office, Teams, and BigChange platforms (or similar).

Documentation: Experience in preparing and managing RAMS, work schedules, and project documentation.

Client-Facing: Ability to maintain clear and professional communication with clients, ensuring that they are kept informed at all stages of the project.

Technical Knowledge: Good understanding of site processes, safety regulations, and external building works.

Flexibility: Willingness to occasionally work overtime or travel to sites when required.

Teamwork: Strong team player with the ability to manage and coordinate diverse work teams.
