Responsibilities:

  • Provide secretarial support to a Solicitor in the conveyancing department
  • Utilise Microsoft Word and the firm's word-processing and digital dictation systems for audio/copy typing of correspondence and documents
  • Manage case and paper management tasks such as printing correspondence, collating enclosures, and ensuring timely delivery
  • Demonstrate excellent client care by sending out client care letters and liaising with existing and new clients
  • Handle new client inquiries and manage incoming written and electronic communication efficiently
  • Coordinate appointments, meetings, and diaries
  • Liaise with estate agents, solicitors, and clients as required
  • Meet and assist clients in person and over the phone
  • Maintain accurate and up-to-date information in the firm's document management system
  • Complete case-related forms and documentation, including data entry into the firm's case management system
  • Undertake departmental-specific administrative tasks assigned by the fee earner/partner in charge
  • Ensure proper electronic and manual filing of documents
  • Perform general administrative tasks such as photocopying, scanning, faxing, printing, and filing as needed

Requirements:

  • Previous experience as a Conveyancing Secretary is preferred
  • Proficiency in audio/copy typing and Microsoft Office suite, specifically Word
  • Strong communication skills, both written and verbal
  • Exceptional organisational abilities, including document management and time management
  • Familiarity with the conveyancing process and file management, both electronic and manual
  • Knowledge of the Solicitors Code of Conduct and Anti-Money Laundering rules and procedures
  • Attention to detail and ability to work with multiple fee earners and competing deadlines
  • Flexibility, adaptability, and a quality-focused mindset
  • Self-motivated with strong initiative and problem-solving skills
  • Punctual and reliable
  • Enthusiastic with common sense approach
