Exceptional Executive Assistant Opportunity - Warwick (Mainly Remote - Travel twice per month to office)

This is a 12 month fixed term contract

An outstanding Executive Assistant is needed to provide comprehensive administrative and project support to the Chief Executive Officer and executive leadership team of a prestigious organisation headquartered in Solihull. This is a remote position with office attendance no more than one day per week at most, ideal for experienced Executive Assistant candidates residing in Solihull, Leamington, Warwick, or surrounding areas of the West Midlands.

In this critical role, you will be the gatekeeper and right-hand to the CEO, managing their calendar, prioritising meetings and appointments, and ensuring seamless daily operations. Your exceptional communication skills will be utilised to liaise with internal and external stakeholders, maintaining strong relationships that uphold the company's reputation.

Key Responsibilities:

  • Proactively manage the CEO's calendar, resolving conflicts, scheduling breaks, and preparing materials for upcoming engagements
  • Coordinate seamless internal/external meetings - booking venues, drafting agendas, distributing documents, recording minutes
  • Provide project management support, driving initiatives from planning to execution as delegated by the CEO
  • Compile data, generate reports/metrics, and offer analytical insights to facilitate executive decision-making
  • Draft professional communications, correspondence and presentations on behalf of the CEO/exec team
  • Oversee email management, triaging incoming messages and drafting responses for the CEO's review
  • Arrange domestic and international travel logistics, accommodation, transportation etc.
  • Maintain absolute confidentiality regarding sensitive matters and information

Applicants must have:

  • Minimum 3-5 years of proven executive assistant at C suite level
  • Exceptional organisational abilities to prioritise, multitask and meet deadlines
  • Proficiency in MS Office, databases, project management and reporting tools
  • Outstanding verbal/written communication and interpersonal skills
  • Ability to exercise tact, discretion and compose professionalism
  • Strong problem-solving skills and a solutions-oriented approach
