Administrative Assistant - International Bank

Job Overview

As the Administration Assistant, you will be responsible for supporting all administrative functions.

Responsibilities

  1. Manage the switchboard in a professional manner
  2. Monitor voice recording and update staff names as required
  3. Maintain new joiner / leavers log
  4. Maintain fixed asset register. Pass equation entries monthly
  5. Maintain the access control system, produce daily/monthly reporting.
  6. Authorise and send purchase orders.
  7. Order stationery, printing and other suppliers when required.
  8. Monitor document archiving online database.
  9. Review/authorise Restore Intake Forms input by mail room.
  10. Send Restore destruction report to all departments on a yearly basis.
  11. Update Peoplesafe (staff contact details and emergency vendor contacts)
  12. Maintain DSE portal
  13. Maintain Fire Safety awareness portal
  14. Support and advise mail room staff when required
  15. Assist admin and facilities management with new projects
  16. Any other duties as directed.

Requirements:

  • A good clear speaking voice. Arabic preferred - writing, reading, speaking all to a strong level pls.
  • Calm, efficient manner, able to cope under pressure.
  • Excellent knowledge of Microsoft applications.
  • Knowledge of Switchboard operations

Experience:

  • At least 3 years similar experience working in an administration role.

Competencies

  • A good team player, with good communication, analytical and numeracy skills.
  • Capable of taking on new tasks as and when required.
  • Calm, polite attitude is essential to this position when covering the switchboard

Skills

  • Accuracy and attention to detail when completing financial reports.
  • An appointment with a very wide range of duties requiring concentration, original thoughts and patience together with an eye for detail.
  • Capability to efficiently deal with several concurrent tasks/issues/projects as well as changing priorities.

The role will require 5 day per week based in their central London offices.

Salary £30,000 - £33,000, plus banking benefits/bonus approx. 25% on top - Package total approx £40,000 - £44,000
