Role: Special Events Assistant

Organisation type: Health and Research Charity

Salary/day rate: £27,600 - £30,800 per annum

Working arrangements: Hybrid working arrangements (2-4 days in office per month)

Location: London

Employment type: 6-month FTC / Full time hours (35)

Role Overview:

Our client, a leading UK health and research charity, is seeking a motivated and enthusiastic Special Events Assistant to join their special events programme. In this role, you'll support high-profile events, helping raise funds and awareness to contribute to the charity's mission of improving lives. This is a fantastic opportunity to work within the Partnerships and Philanthropy team, assisting in high-value events as part of a creative and resourceful group dedicated to making a difference.

You will work closely with the Special Events Manager to ensure successful event delivery and strengthen relationships with stakeholders and diverse audiences.

Your creativity and organisational skills will be key to the success of each event.

Key Responsibilities:

  • Collaborate with the Special Events Manager to plan and run high-profile events.
  • Serve as the primary contact for all event planning and execution aspects, including sourcing and coordinating invite lists, managing RSVPs, and maintaining accurate records in the database.
  • Manage supporter communications from the special events inbox, responding professionally and promptly to all inquiries.
  • Handle gifts, issue invoices, and ensure timely acknowledgment and processing of donations in collaboration with the finance team.
  • Be present at each special event to assist the team from pre-event setup to post-event teardown and administration.
  • Maintain accurate and up-to-date databases and reporting systems.
  • Stay informed about current trends in special events and understand what motivates philanthropic donors.

Requirements:

  • Exceptional attention to detail and ability to work well both independently and as part of a team.
  • Excellent interpersonal and customer care skills.
  • Ability to build and maintain relationships and communicate effectively with internal and external stakeholders.
  • Experience providing administrative support on multiple projects with overlapping deadlines.

The Ideal Candidate:

  • Experience of supporting special events to raise funds and the ability to engage and build strong relationships.
  • Ideally, some experience in non-profit or similar organisations with an understanding of fundraising, as the role involves interacting with supporters and donors.
  • Proficiency in MS Office, including Word, PowerPoint, and Excel, for producing event briefings, reports, and evaluations.
