Part Time Temporary Events Administrator

Job Title: Events Administrator
Hours: Part-time, 22.5 hours per week
Location: Fully Remote (London-based candidates may attend the office once a week)
Salary: £14.87 per hour

Our client is seeking a detail-oriented and proactive High Value Events Executive/Administrator to join their team on a part-time basis. This role offers the flexibility to work fully remotely, though London-based candidates have the option to visit the office once a week if desired. While not essential, we would appreciate availability to attend two key events in London on the 10th of October and 27th of November.

Key Responsibilities:

  • RSVP and Eventbrite Monitoring: Manage and monitor high volumes of responses via the RSVP inbox and Eventbrite. Respond promptly, direct communications to relevant team members, and liaise internally for data screening and prospect identification.
  • Diary Management: Coordinate and schedule meetings related to upcoming events, ensuring all necessary parties are accommodated as we approach key dates.
  • Event Stock Ordering: Source and purchase event supplies as requested, maintaining accurate records of all expenditures.
  • Briefing Documents: Prepare basic briefing documents using information from proposals, project plans, and templates, ensuring the event team has the necessary framework in place.
  • Volunteer Support Coordination: Collaborate with High Value Partnerships team to identify and arrange volunteer support for events, with potential opportunities to manage the volunteer team during the event.
  • Event Materials Management: Maintain a checklist of all required event materials, ensuring everything is prepped and ready for the event days.
  • Registration Management: Oversee the completion of registration lists during events and update them promptly for follow-up activities.
  • Transportation Logistics: Arrange and confirm transportation for speakers and suppliers to and from the event venue.
  • Minutes and Action Tracking: Record and distribute minutes and actions from each event, updating the project plan as necessary.
  • Proofreading: Provide an additional layer of quality control by proofreading documents related to events.

About You:

  • Experience in events administration is desirable but not essential.
  • Strong organisational skills with the ability to manage multiple tasks simultaneously.
  • Excellent communication skills, both written and verbal.
  • Proficiency in using Microsoft Office Suite and event management platforms such as Eventbrite.
  • Ability to work independently and as part of a team.
  • A keen eye for detail and a proactive approach to problem-solving.
