Events Co-ordinator

We are recruiting for an Events Co-ordinator to join our client, a non for profit members' organisation linked to the medical industry, based in Windsor.

This is a truly exciting opportunity to be part of a unique organisation.

The Education Events Coordinator provides essential project coordination and administrative support to manage and evaluate the Academy programme of events. You will develop relationships with a range of individuals including course directors, faculty members, industry contacts and suppliers, accreditation bodies and exhibitors. All administrative activities associated with events will be undertaken including venue hire, accommodation and travel, catering, exhibits and equipment, publicity, enrolment and enquiries.

Salary up to £30,000 plus excellent benefits including 28 days holiday plus bank holidays.

Hybrid - 3 days from home and 2 in the office in Windsor.

Main Duties and Responsibilities

  • Liaise with Course Directors and work closely with them to develop and establish the scientific programme
  • Establish the online pages for the events including general information and industry information raising awareness and effectively communicating the courses and events
  • Invite appropriate faculty members and liaise with them to ensure that accurate information is exchanged about the Programme, that biographies are gained and all administrative arrangements including accommodation and travel are managed effectively
  • Research, source and book venues and facilities including catering, transport and hotel accommodation, liaising with third parties and organising equipment
  • Build relationships and liaise with industry partners in order to secure sponsorship
  • Create and distribute course material
  • Organise exhibitions that accompany a course/event
  • Coordinate and supervise all on site logistics during the course; proactively ensuring that all queries are dealt with, and the objectives of the event are successfully met

Essential skills and experience include

  • Educated to degree level or equivalent
  • Ability to work with a range of individuals
  • Strong communication skills
  • Excellent organisational skills
  • A good understanding of the voluntary sector or membership organisations (desirable)
  • Computer literate
  • Enthusiasm, flexibility and the ability to cope well under pressure
  • A good team player who is able to support colleagues
  • Willingness to undertake occasional international travel
  • Ability to occasionally work at weekends and evenings
