Location: Norwich

Working Hours: Four and a half day week

Job Description:

We are seeking a dedicated and organised Service and Spares Coordinator to join our client Norwich. This unique opportunity offers a four and a half day work week, providing a great work-life balance.

Role Purpose:

The Service and Spares Coordinator will support the seamless transfer of machines from the project management team to the service team. Additionally, you will coordinate with the new business team to develop and capture installation and commissioning opportunities. You will be responsible for following up on spare parts and service quotations globally, ensuring products meet customer requirements and securing orders. Compliance with the company's Quality, Environmental, and Health and Safety Management Systems is essential.

Main Duties and Responsibilities:

  • Liaise with the new business team to introduce service and spares options to new customers.
  • Develop opportunities for installation and commissioning work.
  • Extract historical product/item data from systems or archives.
  • Obtain quotes from suppliers for single-source proprietary items.
  • Produce cost estimates using internal costing systems and historical data.
  • Follow up on tenders sent to customers by the service team.
  • Support clarifications arising from follow-ups on submitted bids.
  • Register orders on the system and create part numbers for proprietary items (pre-Visibility).
  • Pass orders to engineering/production as required.
  • Place requisitions onto the system for sub-orders not requiring factory planning or engineering input.
  • Confirm achievable delivery dates with the factory and acknowledge orders.
  • Manage customer feedback regarding delivery expectations.
  • Prepare certificates of conformity.
  • Carry out other tasks as reasonably requested by the Line Manager within the role holder's ability.

Education / Qualification Requirements:

  • GCSE Grade C or above in English & Maths (or equivalent).

Experience and Knowledge Requirements:

  • Experience working within an engineering manufacturing environment.
  • Relevant experience in a similar commercial role.

Skills and Competency Requirements:

  • Excellent communication skills at all levels of the business, with well-developed written, verbal, and interpersonal skills.
  • Strong organisational skills with the ability to multitask.
  • Good time management skills with the ability to effectively prioritize tasks.
  • Self-confidence to appropriately challenge colleagues when necessary.
