Marketing Coordinator

Role Overview

An opportunity to join a busy Estate Agents in the heart of Tunbridge Wells. A predominantly office-based, administrative role, requiring very good computer and organisational skills, with a good eye for presentation. The role will see you collate all the information required to enable us to bring our clients' properties to market. This includes organising the requirements for our KYC/AML due diligence, coordinating, and organising the brochure visits with our suppliers and clients, and subsequent data input with our in-house software for the website listing and brochure production. Phone cover and client facing engagement in office. Knowledge of the local area welcome.

Key Responsibilities

  • Provide an exceptional first impression for customers when handling telephone, email and face-to-face enquiries.
  • Assist with the marketing of properties including coordinating the booking of advertising, brochure production, signage and PR.
  • Liaise with the sales teams to ensure the smooth sale of all properties by accurately managing REAPIT and other IT systems (no prior knowledge of these required).
  • Compliance: ensuring all files are compliant with signed terms of business etc., preparing agency agreements, gathering the correct compliance documentation for the ownership structure of the property and liaising with Savills compliance teams where required.
  • Monitoring and refreshing the property web listings. Maintaining the office web page.
  • Occasionally creating CCT advertisements (Instagram/Facebook) for properties using the online portal.
  • Responsibility for meeting office audit targets
  • Invoicing: processing other agents' invoices, sales invoices, supplier invoices.
  • Keeping up to date with changes to compliance requirements.
  • General office administration including: day to day running of the office and archiving files.
  • Diary management for negotiators, arranging appointments, viewings, market appraisals and meetings for the sales teams. Booking appointments on REAPIT.
  • Adhere to the companies' ISO, Money Laundering, Health & Safety policies as well as the Savills Code of Conduct.
  • When required assisting with the planning and orchestration of local events, including preparing guest lists and assisting with sending invitations.

The fast paced and friendly residential sales team in Tunbridge Wells primarily deal with the marketing of high-end properties within the Tunbridge Wells area and beyond towards the coast. With close links to Savills other offices and divisions within the region, and the Country Department who deal with trophy homes, the team deal with a diverse range of properties located in idyllic country settings to local towns and villages.
