They are seeking an organised, proactive, and professional Executive Assistant to support our Managing Director in driving the company's success.

The Executive Assistant will play a critical role in ensuring the smooth operation of the Managing Director's office by providing high-level administrative support. This role requires a dynamic individual who is detail-oriented, highly organised, and capable of managing multiple priorities. The ideal candidate will be a skilled communicator with the ability to work independently and handle sensitive information with discretion.

Key Responsibilities:

Administrative Support:

  • Manage and maintain the Managing Director's calendar, including scheduling appointments, meetings, and travel arrangements.
  • Prepare and edit correspondence, reports, presentations, and other documents as needed.
  • Organize and prioritize incoming emails, calls, and other communications.

Meeting Coordination:

  • Coordinate and facilitate meetings, including preparing agendas, taking minutes, and following up on action items.
  • Arrange and oversee logistics for internal and external meetings, ensuring all necessary materials are prepared and distributed.

Office Management:

  • Manage office supplies and ensure the office environment is professional and welcoming.
  • Oversee the maintenance of office equipment and liaise with IT support as needed.

Project Coordination:

  • Assist in the planning and execution of special projects and events.
  • Collaborate with various departments to ensure project deliverables are met on time.

Confidentiality and Discretion:

  • Handle confidential information with the utmost discretion.
  • Maintain a high level of professionalism and confidentiality in all interactions.

Client and Stakeholder Liaison:

  • Act as a point of contact between the Managing Director and clients, partners, and other stakeholders.
  • Foster and maintain positive relationships with key contacts.

Qualifications:

  • Excellent organizational and time-management skills.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to work independently and as part of a team.
  • High level of professionalism and attention to detail.
  • Experience in the automotive industry is a plus, but not required.
