We are currently seeking a highly organised and efficient Commercial Legal Secretary to join our legal team. The successful candidate will be responsible for a wide range of administrative and secretarial duties, ensuring the smooth operation of client transactions and supporting our fee earners. This role requires a professional and friendly approach to client service, as well as a commitment to maintaining high standards of practice.
Day-to-day of the role:
- Manage the diary of fee earners, organising meetings and appointments.
- Prepare files for billing and assist with the billing process.
- Screen incoming calls and handle client queries where appropriate.
- Undertake typing of correspondence, photocopying, filing, sending faxes, and opening new files.
- Sort and prioritise mail, emails, and messages, ensuring timely responses.
- Support in all areas of work where appropriate, including the preparation and submission of stamp duty forms and Land Registry applications.
- Provide a reliable and efficient service to clients, recognising the sensitivity of their situations.
- Prepare straightforward legal documents with attention to detail.
- Uphold the standards of LEXCEL & Investors in People, as well as the requirements of the Law Society.
- Be familiar with the Solicitors Accounts Rules, particularly regarding the handling of client funds.
- Liaise with clients and other parties to provide updates on transaction processes.
- Assist with postal duties and provide reception cover as required.
Required Skills & Qualifications:
- Proven experience as a legal secretary, ideally within a commercial law setting.
- Strong understanding of legal procedures and documentation.
- Proficiency in MS Office and experience with legal software.
- Excellent organisational and time-management skills.
- Ability to work under pressure and prioritise tasks effectively.
- Strong communication skills and a professional, friendly demeanour.
- Familiarity with the Solicitors Accounts Rules and the ability to handle client funds appropriately.
- Commitment to continuous professional development and adherence to legal standards.
