I currently have an opening for a Planning Administrator with a well-established facility management organisation based just outside of Glasgow.

As a Planning Administrator, you will deliver professional scheduling services to both internal and external customers, ensuring these are in line with any contract specifications. You will support and supervise the team, providing leadership, guidance, and assistance when necessary.

The key responsibilities for the role are:

  • Scheduling and Coordination:

o Schedule Planned Preventive Maintenance (PPM) and reactive call outs to engineers or sub-contractors,
o Provide customers with Estimated Time of Arrivals (ETAs) and real-time updates for urgent jobs.
o Perform daily risk management on at-risk jobs, ensuring appropriate actions are taken.

  • Documentation and Reporting:

o Maintain accurate records in the Computer-Aided Facility Management (CAFM) system.
o Produce weekly performance reports for the team.
o Ensure all quoted work is scheduled and completed within SLA.

  • Administrative Support:

o Raise and receipt purchase orders for parts or equipment
o Collaborate with the Customer Service Centre to ensure jobs are raised correctly.
o Manage the 'On Call Rota' for out-of-hours work coverage.

  • Team Leadership and Training:

o Support new starter training and ongoing training for the Helpdesk team.
o Communicate daily/weekly plans and highlight any business-critical events.

The ideal candidate will possess:

  • Previous administrative experience
  • Customer service experience
  • Confidence speaking to multiple different individuals
  • Great organisational skills
  • Proficiency in MS Outlook, Word, Excel, and other MS Office packages
  • Knowledge of FM/Property sector (desirable)
