Our client, a prestigious Police Force, is seeking a proactive and efficient Executive Assistant to provide comprehensive support to their Chief Officer. We are currently recruiting for an Executive Assistant to join South Yorkshire Police based at the South Yorkshire Police HQ in Carbrook.

This is a temporary assignment, working full time, Monday - Friday. This role is Hybrid. The rate is £15.48 per hour.

As the Executive Assistant, your main responsibility will be to ensure the Chief Officer operates with maximum efficiency by providing them with outstanding administrative support. Joining our client's dynamic team, you will have the opportunity to work independently while also collaborating with a group of talented professionals.

Key Responsibilities:

  • Proactively manage the Chief Officer's daily schedule, making efficient decisions and prioritising their time to maximise productivity.
  • Maintain an accurate and up-to-date electronic diary system, including booking appointments, arranging meetings, and coordinating national and international travel and accommodation.
  • Utilise your proficiency in Microsoft Office to produce high-quality correspondence, reports, and presentations.
  • Prepare for and attend meetings, collating and circulating relevant documents, taking minutes, and following up on action points.
  • Develop and maintain efficient administrative systems and procedures, utilising technology to improve office processes.
  • Handle incoming correspondence, prioritising and responding to inquiries as appropriate.
  • Manage phone calls, ensuring messages are relayed and necessary actions are taken.
  • Assimilate, manage, and communicate various types of information, some of which may be sensitive and confidential.
  • Assist with national, regional, and local commitments, fostering positive relationships with senior police officers and high-ranking officials.
  • Receive visitors and arrange hospitality as required by the Chief Officer.
  • Prepare files and background materials for meetings, conducting research as needed.
  • Collaborate with other Executive Assistants to optimise resources and ensure seamless support to the Senior Command Team.
  • Work with autonomy while knowing when to seek guidance or assistance from colleagues or managers.

Qualifications:

  • Previous experience as an Executive Assistant or in a similar administrative role.
  • Strong organisational skills with the ability to multitask and prioritise effectively.
  • Proficiency in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook.
  • Excellent written and verbal communication skills.
  • High level of confidentiality and discretion.
  • Ability to work both independently and collaboratively as part of a team.
  • Resourcefulness, adaptability, and a proactive approach to problem-solving.
