**Executive Assistant (6-Month Contract)
Location: Victoria Embankment, Central London
Working Structure: Onsite, 5 days per week (potential for hybrid after settling period)
Contract Length: 6 months, with potential to extend to 12 months
Rate: £200 - £220 per day
Hours: 8:00 AM - 5:00 PM, Monday to Friday
About the Role:
An exciting opportunity has arisen for an experienced Executive Assistant to support the executive team of a global investment firm. This role will involve providing high-level administrative and operational support to three Managing Directors (MDs) within the Asset Management division, specifically within the growing Global Special Situations (GSS) team. The GSS team focuses on a diverse range of alternative investment strategies, with continued expansion in both assets under management (AUM) and operational support requirements.
Key Responsibilities:
- Executive Support: Comprehensive diary management, travel arrangements, and meeting coordination for three MDs, including room bookings and expense processing.
- Team Coordination: Assist with onboarding and offboarding staff, team events, and access management for various internal systems.
- Board & Committee Preparation: Assist with preparing board and committee packs, minute logs, and conducting monthly and quarterly procedural checks.
- Budget & Finance: Oversee expense processing and provide support with general budgeting and finance administration.
- Administrative Support: Manage office functions, answer ad-hoc queries from investment and operations teams, and handle general office management tasks.
- Documentation & Reporting: Prepare various reports and support the team with ad-hoc requests related to investment operations and marketing.
Essential Skills & Experience:
- Prior experience in a similar Executive Assistant role, ideally within finance or asset management; or other professional services such as insurance or similar industries.
- Strong proficiency in Microsoft Office, especially Excel, and experience in managing complex scheduling and administrative tasks.
- High attention to detail, strong organisational skills, and the ability to work independently within a fast-paced environment.
- Demonstrated ability to manage sensitive information with discretion and professionalism.
