Your new role
As an Administrative Officer, you will play a crucial role in supporting the efficient operation of this organisation's service. Your responsibilities will include:

  • Serving as the first point of contact for the service, offering a warm welcome and providing professional responses to enquiries from students, staff, and external stakeholders.
  • Proactively assisting in the organisation and delivery of events and projects run by the service. Your attention to detail and organisational skills will contribute to successful outcomes.
  • Providing administrative support to the Director and Heads within the department. This includes minute-taking during meetings and managing their diaries effectively.
  • Preparing, producing, and promoting a wide range of documentation and resources. Your ability to create clear and concise materials will enhance our communication efforts.
  • Inputting, analysing, and generating reports on learning and development information. You'll work closely with key performance indicators to drive continuous improvement.
  • Utilising university systems to handle basic financial processes. Attention to detail and accuracy are essential in this aspect of the role.
  • Proactively addressing day-to-day challenges that arise, collaborating with colleagues to ensure seamless service delivery to both internal and external customers.

What you'll need to succeed

  • Recent experience of working in a busy customer-focused environment providing administrative support and guidance to internal and external customers;
  • Excellent organisational skills with demonstrable experience of organising and supporting meetings and events that require complex arrangements, including agendas, minutes, follow-up actions and report writing;
  • Experience of prioritising work and delivering against demanding deadlines with excellent attention to detail;
  • Experience of working with a high level of diplomacy, discretion and confidentiality;
  • Ability to work proactively to solve a range of problems both independently and as part of a wider support team, adapting to constantly changing demands/deadlines;
  • Excellent IT skills, including experience with Office 365, Word, Excel, PowerPoint and Outlook, databases and collaborative tools such as SharePoint;
