On behalf of Deutsche Bank and DB Investment Partners, we are looking for an Executive Assistant for an initial 6 month contract based in the Banks Moorefield's Offices 5 days per week.

Purpose of the role:

Supporting DB Investment Partners (DBIP) CEO through concise diary management and thorough organisation of meetings and travel in the United Kingdom and overseas

Key responsibilities

  • Travel

  • Booking travel for broader DBIP UK team

  • Maintaining travel diary for Compliance and Tax

  • Meetings

  • Supporting DBIP's UK and Singapore teams (re:organisation of meetings, video conferences and events across time zones

  • Call notes / meeting minutes in regular UK team meetings

  • External-facing presentation

  • Dealing on phone and in person with clients and senior stakeholders (eg meeting and greeting)

  • Connecting with multiple contacts throughout the organisation and liaising with a wide range of external points of contacts

  • Administrative tasks to include:

  • Processing expenses and invoices for UK and SG teams

  • Filing and logging - eg client call notes, NDAs, G&E log etc

  • Printing timely ahead of meetings

  • Team

  • Coordinating onboarding of new team members

  • Keep HR database to reply to investor DEI metrics enquiries

  • Other

  • Work with market data providers, including renegotiations, renewals, access

  • Work with infrastructure regarding any office space issues/improvements

  • Building on and maintaining an excellent rapport with staff across the whole organisation

  • Managing e-mails as required and actioning tasks where appropriate

Skills and Qualifications

  • Experience of working for an Asset Manager or within the Investment Management/Investment Banking industry is essential
  • Thorough knowledge of Microsoft (MS) Office products
  • Previous experience working in a confidential environment
  • Presentable and highly professional in interactions, with experience of dealing regularly with senior external clients and stakeholders
  • Ability to work individually as well as part of a team
  • Excellent organisational skills and attention to detail
  • Ability to prioritize competing demands
  • Exceptional English spelling and grammar
  • Ability to work calmly and efficiently under pressure
