Cambridge Business Support are excited to be working with one of East Anglia's largest Accountancy practice who are offering a newly created opportunity for an Office Administrator to join their team in Cambridge. This role is pivotal in supporting the work of their office and will be the first point of contact for clients and visitors, ensuring a professional office environment.

Day to Day of the role:

  • Serve as the ‘front of house' by handling reception duties, greeting visitors, and managing incoming and outgoing post and couriers.
  • Oversee all aspects of Facilities Management, including liaising with the landlord, managing agents, contractors and suppliers.
  • Coordinate regular meetings with the Office Partner and manage diary and organisation of meetings and events for all partners.
  • Liaise with the firm's Practice Manager regarding Health & Safety and other regulatory matters.
  • Assist with planning and organising client and staff events, including social gatherings.
  • Support Company Secretarial tasks, filings with Companies House and HMRC and monitor deadlines.
  • Manage archiving and receipt of client books and records.
  • Arrange and book staff training courses and venues.
  • Administer staff holidays, staff passes and meeting room bookings.
  • Maintain and update client contact information.
  • Handle Client Acceptance processes and Anti-Money Laundering procedures.
  • Manage correspondence including Engagement letters, Authority letters, Bank letters, Solicitor letters, land registry searches and client satisfaction reviews.
  • Organise travel and accommodation for partners and staff as needed.

Required Skills & Qualifications:

  • Strong background in administration with a ‘front of house' element and solid experience to support this (professional services background is advantageous but not essential).
  • Exceptional time management and organisational skills.
  • Ability to work independently and without close supervision.
  • Proficient in multitasking, working on own initiative and being proactive.
  • Discretion and confidentiality with regards to work.
  • Proficiency in Microsoft Word, Excel, and Outlook.
  • Awareness of GDPR and its application in the workplace.
  • Full UK driving licence and access to own transport for occasional visits to other locations.
