Vehicle & Compliance Coordinator

Reed have partnered with a dynamic, family-run business based in Warmley, South Glos, to support with recruiting for a Vehicle & Compliance Coordinator on a full time, permanent basis.

You will oversee the day-to-day management of fleet and ensure compliance with health and safety regulations. This pivotal role involves coordinating services, MOTs, repairs, insurance, and vehicle inspections, as well as managing equipment compliance across the organisation. The successful candidate will be a forward-thinker with excellent communication skills, a strong work ethic, and the willingness to travel from time to time, to various sites to perform equipment compliance duties and vehicle inspections.

Hours: Monday to Friday. 8-5 or 8.30 – 5.30

Duties:

  • Coordinate the servicing of company vehicles, including scheduling annual MOTs and adhering to maintenance timelines.
  • Assist with vehicle breakdowns, including organising recovery and repairs, and liaising with chosen garage.
  • Issue and maintain fuel cards, organise annual insurance, and road tax.
  • Conduct regular inspections and audits of all company equipment and vehicles to ensure compliance with health and safety regulations.
  • Travel to various sites to undertake duties regarding equipment compliance and vehicle inspections.
  • Manage all plant and equipment, ensuring items are calibrated within the required timescales.
  • Maintain accurate records of inspections, maintenance schedules, and compliance reports.
  • Prepare and present reports on compliance status and safety performance to senior management.
  • Liaise with the procurement team regarding repairs and equipment levels.
  • Report any incidents involving equipment or vehicle safety issues.
  • Ensure all safety signs, labels, and instructions are appropriately displayed on equipment and vehicles.
  • Undertake other ad-hoc duties as required, including driving.

Requirements:

  • Knowledge of health and safety regulations related to equipment and vehicle maintenance.
  • Excellent organisational and communication skills.
  • Strong attention to detail with the ability to conduct thorough inspections and audits.
  • Proficiency in using compliance management software and tools.
  • Valid clean driving licence.
  • Previous experience in vehicle management is advantageous.
  • IT literate with a strong working knowledge of Microsoft Office.
  • Ability to travel as required for the role. Would be able to use company van.
