People & Recruitment Administrator - 12 months fixed term contract

You will guide a new employee through the Offer and Onboarding process and will work to ensure best practice is applied throughout, enabling the new starter to have the best possible candidate experience.

Typical responsibilities will include:

  • Support administration of HR processes including issuing contracts digitally, checking right to work documents, chasing references, ensuring leavers and changes to terms and conditions of employment are processed correctly and take responsibility for issuing all documentation.
  • Ensuring all Contract templates for all separate businesses set up and ready to issue digitally using existing HR system (Ciphr).
  • Maintaining all training and performance records.
  • Manage and monitor the HR inbox and respond in a timely manner.
  • Acting as a centralised first line support to employees, resolving queries and signposting people to the right resources/solutions.
  • Ensure that all relevant employee lifecycle and general administrative activities are managed in a timely and efficient manner, this includes pay and benefit variations and liaise with Payroll/Finance to ensure these are processed accurately.
  • Ensure seamless delivery of HR administration, ensuring that the data follows correct processing paths to internal deadlines
  • Manage the integrity of HR data on the HR system, ensuring accuracy and stability of HR data so to generate accurate reports and insights for the business partnering team.
  • Whilst maintaining the information within the human resources information system (Ciphr), proactively seek ways to improve the data we hold (e.g. reduce data held outside of the system).
  • Help to run reports on data held within Ciphr.
  • Working with the team to support the continuous improvement of HR processes including HR document management.
  • Help coordinate corporate IT and HR onboarding sessions for all new starters.
  • Ensure there is a systematic approach to the management of time-sensitive operational process (eg. probation process triggers, family leave calculations).
  • Ensure that Health and Safety activities and training is cascaded and completed.
  • Maximising the functionality of the HR system.
  • Train users in the basics of the HR system.

Experience / Skills Required:

  • HR Administration skills, gained whilst working within a fast paced, dynamic business environment
  • You will ideally have had prior experience of working with an HR systems such as Ciphr
  • You will be comfortable working with a remote team
  • We will set you up to work from home, yet do require someone who can attend Team Meetings in person, which could take place in either Manchester or London (or possibly other locations in the UK), so should be prepared to travel as required
  • We need someone ideally to start in July 2024 and who can commit to the full 12 months term of this contract
