Billing Coordinator

This client is global law firm comprising 2000 layers in 30 plus offices located on three continents. They work with leading global corporations, public sector entities as well as Entrepreneurs. Their revenues exceed $1 billion.

They are now looking to recruit a Billing Coordinator. The role will be responsible for processing the firms bills through Elite 3E and Paperless proforma applications in a timely, organised and efficient manner.

Responsibilities

  • Through Elite 3E & Paperless produce drafts, bills & credit notes in compliance with procedures, in conjunction ith the billing Timekeepers.
  • Produce and manage proforma production for monthly and transactional billing for the London and Dublin Offices.
  • Provide help desk support for fee-earners/secretaries in the creation of bills.
  • Chase monthly bill production with appropriate fee earners.
  • Monitor bill production with strict compliance with the firms procedures, ensuring that all Alternative Fee
  • Arrangements are adhered to and correctly identified on 3E, and where necessary to consult with the Director of Administration and/or Financial Accounting Manager.
  • Distribute draft and thereafter finalised bills to appropriate departments and maintain the bill filing within the accounts department.
  • Produce missing/pending time reports and process instructions received.
  • Check and correct matter information in compliance with Firm procedures.
  • Control and reconcile charges and disbursement records on client side.
  • Develop and help improve processes and workflows to enhance the services of billing.
  • Provide support to other members of the firm on billing, paperless proforma and e-billing.
  • Regular discussions with AML team to ensure compliance.
  • Monitor old matters for unbillable balances and file closures.
  • Produce appropriate reports as required from 3E or Excel.
  • From time to time deal with other adhoc finance related tasks assigned by line managers and/or partners.

Candidate Profile

  • A sound knowledge of 3E Accounting software.
  • Knowledge of Microsoft Office 365, especially Outlook & Excel.
  • Knowledge of Solicitors Accounts Rules, Anti-Money Laundering Regulations & VAT.
  • Prior work experience in a billing or accounting department working with an automated accounting or billing system.
  • Ability to maintain confidentiality of all firm and client related information.
  • Ability to multi-task, work under pressure, handle interruptions while maintaining flexibility in work assignments.
  • Ability to communicate effectively and interact with diverse personalities while maintaining a professional attitude.
  • Ability to ensure a high level of accuracy and attention to detail on all assignments.
