Transport Office Administrator

Or client who is a specialist in providing services to the construction, commercial and domestic sectors are looking for an experienced Transport Office Administrator to join an existing team. Previous transport office knowledge is ideal.

Based at The Fareham Head office the role of Transport Office Administrator involves the following duties....

  • Compiling the weekly LGV driver payroll from what has been recorded on the System, maintaining and updating the system, and dealing with any queries in liaison with payroll Inputting all absences onto the system and cross referencing it with the Driver holiday record cards
  • Tachograph management, including monitoring of downloading vehicles/driver information, infringements, and recording all information on the system
  • Completing transport related paperwork and registers for orders for the inhouse teams
  • Defect registers - ensure defects are being received from the Drivers and logged
  • Keep the driving licence/Driver CPC Card folder and records up-to-date
  • Issue letters in respect of positive feedback/licence reminder letters and post interview letters.
  • Ensuring Company Policies are issued, read, and a receipt form is signed by all LGV Drivers and retained in the Transport record management system
  • Gather monthly Company car mileages
  • Compile new starter packs for new Drivers, including clock cards for all staff
  • Book regular planned maintenance for vehicles
  • Ensuring paperwork submitted by the drivers has been completed in full and obtain any missing information, as necessary
  • Managing the Bridges Card accounts to make sure it is always in credit
  • Ordering, managing, recording, and maintaining Driver PPE requirements
  • Issuing order numbers that have been approved by the Managers and signing off correct invoices but notifying the Manager of any discrepancies
  • FORS administration, ie updating training records, accident investigations, fuel, CO2, NOX and vehicle data records on a regular basis
  • Assisting in creating efficient and effective systems and supporting other members of the team.

The Ideal Transport Office Administrator will have...

  • Good IT skills, with intermediate Excel skills
  • Great communication and interpersonal skills, and excellent attention to detail.
  • Good organisation and prioritisation skills, with the ability to use own initiative.
  • Hardworking and conscientious. positive, motivated, and pro-active, reliable, flexible, and adaptable.

Hours

Monday to Friday - 8.30 am to 5.00 pm

Reward

£25,306 - £28,000 (Depending on experience)
