Location - Tadworth, Surrey

Hours - 37 hours per week

Contract for 12 months

Our client, a global pharmaceutical company, is looking to support their project team with a strong administrator.

You'll be a key figure in enhancing the company and department's reputation by effectively dealing with a range of external queries and Secretarial projects to a high standard.

Key Accountabilities for the Role of Project Secretary

  • Proactively coordinate meetings, maintain diary invites and efficiently resolve conflicts and routine issues for the section Director and team diary
  • Take a lead role and fully participate in project work to identify, plan, manage and implement improvements and enhancements
  • Collate and analyse information for use by the Director and team in proactive risk management and departmental decision-making
  • Provide operational support to the section team
  • Produce routine documents such as reports, PowerPoint presentations, training materials and Excel spreadsheets.
  • Manage and maintain tracking documents, database/websites/ SharePoint sites for section team
  • Management of professional records
  • Support budgetary processes, and financial and administrative information on behalf of the team
  • Acting as a point of contact to finance representatives when required on behalf of the team
  • Establish and maintain office procedures and systems (e.g. filing or record-keeping systems, databases) to support processes in line with company SOPs
  • Support onboarding of new colleagues
  • To provide timely and accurate responses to enquiries, including incoming telephone calls, emails and written mail
  • Plan, organise and prioritise work daily to meet deadlines
  • Act as a first point of contact and efficient liaison channel for the teams for both internal colleagues and external customers
  • Taking the initiative to identify and handle problems/issues that arise on behalf of these colleagues
  • Coordinate arrangements for internal and external meetings
  • Document minutes/action points for meetings

Experience required for the role of Project Secretary

  • Excellent project management skills and experience.
  • Extensive experience in a relevant senior secretarial or administrative role
  • You must have excellent clear and concise communication and coordination skills
  • Will have comprehensive knowledge of departmental policies and procedures
  • Must have good judgment with the ability to work with confidential documents and information
  • Would have demonstratable planning skills with the capability to work independently
  • The ability to manage priorities, handle multiple tasks with frequent tight deadlines
  • Ability to coordinate the activities of others and to work under pressure
  • Possess outstanding IT skills, particularly in Microsoft Office products - Word, Excel, PowerPoint, Outlook and SharePoint, as well as skilled in the relevant company applications and systems- Teams, CoPilot, Forms and Power Automate
  • Will be capable of using digital technology provided by the organisation
  • Confident and competent with digital compliance requirements
  • Basic understanding of core digital metrics used by the organisation
