Job Role: Business Support Officer - Children Services (Admin and Clerical)

Location: Ellesmere Port

Salary : £12.38 per hour

Hours: Hybrid Monday to Friday 0830 - 1700 - Required to travel across borough

Job Purpose: Provide comprehensive business and administrative support within the Safeguarding Children Unit. Undertake additional duties as needed to help the Directorate achieve its objectives and support personal development.

Principal Responsibilities:

  1. Meeting Coordination: Set up and manage multi-agency child protection meetings based on requests from Children Social Care and Partner Agencies. Handle all aspects of meeting an organisation, including invitations, agendas, room bookings, and preparation of confidential documents and meeting packs.
  2. Minute Taking: Accurately record and produce minutes for complex and sensitive child protection meetings, ensuring documentation is completed within statutory timescales as per national and local guidelines.
  3. Record Maintenance: Update children's electronic records within 24 hours of protection conferences to ensure a current and accurate account of at-risk children in the Borough.
  4. Financial and Administrative Support: Assist unit managers in managing financial and administrative systems such as Oracle and Comensura. This includes creating purchase requisitions, processing orders, and managing payments to maintain efficient budget control.
  5. Communication Management: Handle incoming requests via secure email, phone, or post. Prioritise and respond to these requests or refer them to senior staff to meet service needs and maintain business operations.
  6. Data Management: Maintain and monitor central and service-specific information systems and databases. Ensure data accuracy and accessibility to support statutory and local requirements.
  7. Information Handling: Respond to internal and external communications with sensitivity and discretion. Provide accurate advice and information in line with regulations and maintain secure data handling and distribution practices.
  8. Service Quality Alert: Inform unit managers of any service issues that could endanger a child, affect compliance, or damage the unit's or local authority's reputation.
  9. Professional Standards: Adhere to high professional standards as established by the Safeguarding Children Unit and Cheshire West and Chester Council.
  10. Research and Analysis: Assist in research for service and process reviews. Gather, analyse, and present data clearly to support decision-making for managers and stakeholders.
  11. Training Support: Contribute to the training and development of the Business Support Assistant and other staff within the SCU to ensure they possess the necessary skills and knowledge to perform their roles effectively.

This role is vital for ensuring efficient administrative operations within the Safeguarding Children Unit, maintaining high standards of service delivery, and supporting the protection of children in the Borough.
