Administration Secretary - Part Time

Our client is seeking a proactive and organised PA/Administrator to join their team on a temporary contract for approximately 9 months. This role involves a variety of administrative tasks including scheduling, preparing meetings and general office management. The ideal candidate will be flexible, able to manage multiple tasks efficiently, and provide support to the CEO and other visitors.

Working 20 hours a week

Day-to-day of the role:

  • Schedule meetings and manage the diary for the office.
  • Prepare the boardroom and refreshments for meetings.
  • Take minutes during meetings to ensure all information is accurately captured and distributed.
  • Handle printing, copying, scanning, filing, and shredding documents.
  • Book accommodation and travel arrangements for the CEO.
  • Greet and assist any visitors to the office.
  • Answer and distribute incoming calls (very low volume).
  • Open and distribute mail (very low volume).
  • Maintain general office databases, including conducting Health & Safety required checks.
  • Order and maintain stock levels of office and kitchen supplies.
  • Run errands for the CEO as needed.

Required Skills & Qualifications:

  • Proven experience in an administrative role.
  • Excellent organisational and time-management skills.
  • Strong communication and interpersonal skills.
  • Proficiency in Microsoft Office and other office management software.
  • Ability to handle multiple tasks and meet deadlines.
  • Discretion and confidentiality when handling sensitive information.
