Project Finance Assistant - Permanent Opportunity - Leeds (Hybrid Working)

The Project Finance Assistant role sits within a team of 6 assistants, 2 seniors all reporting to the Project Finance Manager. As part of the Project Finance team, working from a shared email hub, you would be facilitating project set ups, project cost budgeting and sales invoicing. The success of this position will be measured by the completion of accurate invoicing, ensuring invoicing and revenue recognition targets are met in line with the given deadlines. We pride ourselves on truly flexible working. Ideally, we are looking for someone based in Leeds, but you can work from anywhere – we don't mind so long as the job gets done!

KEY ACCOUNTABILITIES

  • Working on the TLX Oracle based system completing project set ups, reviewing that the information is accurate and in line with the policy on delegated authority and risk.
  • Engaging with the wider business to aid with intercompany project working and invoicing.
  • Create and build revenue and cost to complete budgets. Amending as and when required.
  • Ensuring invoices are raised accurately and processed in a timely manner.
  • Expedite invoicing via email, telephone, and teams' meetings.
  • Develop positive working relationships with the Project Managers and Project Directors to become a contact point for any project finance assistance.
  • Ad hoc project fee and invoice reconciliations.
  • Action monthly checks and tasks to ensure system data is accurate continuously maintained.
  • Provide cover & support for the supervisors on key tasks such as project reporting.
  • Ad hoc duties which may include client or discipline specific, or the production of reports as required.
  • Working alongside accounts receivable with credit note queries.
  • Assisting in the completion of external supplier questionnaires.
  • Maintaining the client database with specific credit scores and invoice instructions.

SKILLS, KNOWLEDGE, EXPERIENCE

  • The ability to manage and prioritise workload to ensure essential items are processed in line with strict deadlines and remaining calm under pressure.
  • Maintaining a high level of accuracy and working efficiently.
  • To be able to work independently and as part of a wider team.
  • Ability to understand, discuss and challenge fee amendments, budget alterations & invoice queries.
  • Working knowledge of relevant software packages, notably Microsoft Excel (look-ups and pivot tables).
  • Familiarisation with project accounting, revenue recognition would be advantageous.
  • Have strong written and verbal communication skills, to explain and discuss matters relating to project set up, cost budgets and invoicing.
  • Previous experience of operating in a comparable role and one with similar demands and challenges. The understanding of project-based finance would be advantageous.
  • Ability to operate in a professional manner, and in line with business practice and policy.
