What do the team do?

You will support the EA to the Executive Board by delivering on corporate events management for the firm, both internally and externally and professional administration tasks for activities associated with events, marketing, sponsorship / memberships and general administration.

You will be organising events around the UK and potentially on an international level, so the ability to travel to scope venues and fully manage and support events is a must. As part of this role you can expect to travel when required.

What will I be doing?

As an Events Coordinator / Administrator you will have ownership of the following tasks:

  • Researching, planning, coordinating and managing conferences, events, small and large meetings and dinners from start to finish.
  • Sourcing, visiting and selecting suitable venues that align with event requirements and providing a full budget and costings.
  • Reviewing and negotiating contracts with suppliers, ensuring the best possible terms and conditions.
  • Liaising with our marketing team to provide the best exposure of the event and ensuring all necessary marketing materials are sourced and delivered.
  • Attending events personally to oversee all aspects and ensure a smooth running on the day.
  • Drafting and sending routine correspondence internally and externally.
  • Managing diaries and arranging travel as required.

What experience do I need?

Whilst having the following experience is advantageous, we value passion and potential. If you meet the minimum criteria listed below and are eager to develop yourself, we would love to hear from you:

  • Significant experience, a minimum of three years, organising multiple large corporate events simultaneously from commencement to completion (minimum criteria).
  • Previous administration experience in a large professional services / office environment (minimum criteria).
  • A confident, positive attitude and a strong desire to deliver high quality results.
  • Able to use good judgement and initiative, particularly in response to the prioritisation of deadline dependent work.
  • Able to demonstrate reliability, discretion, confidentiality and flexibility.
  • Excellent attention to detail with strong organisational, communication and time management skills.
  • Proficient in costing / budgeting.
  • Experience of organising international events would be beneficial.
  • Proactive and able to use initiative.
  • Proficient in the use of Microsoft Office (Word, Excel, PowerPoint) and Outlook.
  • Minimum of 5 GCSEs, or equivalent, including English Language and Mathematics.
