- The Assistant Depot Manager will play a crucial role in supporting the depot manager with overseeing day-to-day operations and a strong emphasis on all aspects of the transport operations, taking a proactive approach to operational challenges with a view to solve problems, thus ensuring that high levels of customer satisfaction are maintained.
- As part of the companies' goal for continued improvement, the depot supervisor will look to develop simplified and standardised ways of working, suggesting them to the depot manager and supporting with the implementation of any agreed changes.

- Duties and responsibilities
- Health & Safety
- Be an advocate for Health and Safety both internally with colleagues and with Customers and Suppliers
- Customers - Raise issues when our customers are not working to companies expected standards with the Operations Director.
- Incidents - Ensure all HSE incidents impacting group employees and those of our customers are reported, supporting investigations as required.
- Site Safety - Ensure all safety measures put in place for the protection of employees and premises are adhered to, documenting and escalating non-conformance.
- Near-miss Incidents -Report any site safety or near-miss concerns to the company Health and Safety executive.
- Staff Management/Leadership
- Supervision and teamwork - support the depot manager with leading and managing the team, providing clear instructions for tasks, offering coaching and support as required.
- Driver Activity Management - support with the management of daily activities for drivers, anticipating and rectifying potential issues with deliveries or arranging additional collections to maximise efficiency.
- Communication - ensure regular communication with depot teams to support engagement.
- Morale - Act as an ambassador for the company, ensuring that a positive environment is fostered where employees are motivated to strive for excellence.
- Disciplinary Procedures - carry out investigations, hold disciplinary meetings or deal with other employee concerns in line with the employee handbook and as requested by the depot manager or HR department.
- Recruitment and temporary cover - Support with the management of staffing requirements by arranging agency cover for any periods of holiday or absence. Oversee full adherence to the agency new-starter or repeat-worker processes, ensuring that all relevant documentation is completed in full and agency workers are qualified and legally available to carry out duties on behalf of the company.
- Assist with the recruitment, training or gathering of documentation for permanent new starters as required.
- Vehicle/Equipment Safety Management
- Drivers/Forklift operators -take joint responsibility with the depot manager and night shift manager/supervisor to ensure drivers and forklift operators are carrying out daily safety checks and raising defects as required.
- Performance Management
- In conjunction with the depot Manager, take an active participation in all the SW Performance Management activities.
- Management System -Participate in the management processes and team meetings to drive performance, issues, reporting, and communication.
- Employee Performance shortfalls -In conjunction with the depot manager and the HR department, support with the management of any shortfalls in employee performance as required.
- Compliance
- Industry and Government regulations - Ensure employees adhere to industry and government regulations, obtaining evidence as required and reviewing any shortcomings that may pose a risk to either employees or the company.
- Company policies and procedures - Ensure adherence and compliance with all in-house policies and procedures.
- General Operational Activities
- Customer Goods/Stock Control - Play an active part in effectively managing the floor sheet and liaising with other depots when required to ensure SW retains full control and knowledge over the whereabouts and safety of customer goods.
- Stock Movement/General operational duties - Assist with the loading or unloading of vehicles and stock movement duties as required to support the achievement of daily tasks.
- Handovers - Alongside the depot manager, ensure that daily handovers are done between shifts, escalating issues as required.
- Documentation - Ensure jobs are operated with appropriate documentation to ensure compliance.
- Customer Service - Work closely with the Traffic, Operations and Customer Service teams to provide support and deliver excellent Customer Service. Implement and execute operational solutions for customers, liaising with Transport Partners or customers as required.
- Traffic Planning - Support with the overseeing of depot traffic planning activities, ensuring tasks are completed effectively with cost saving in mind.
- Payroll - Provide holiday cover for the completion of the depot payroll process, ensuring submission of all required documentation.
- Other Duties
- Perform tasks such as database entries and filing.
- Ad hoc duties may be required to ensure optimal functioning of the depot.
- KPI Reporting
- Logging and monitoring of Key Performance indicators, for timely feedback to the Depot Manager and Operations Director.
