Hybrid Residential & Commercial Property Manager

Well respected property consultancy with offices throughout the South West currently has an opening for a Commercial & Residential Block / Property Manager with salary 30-35k plus car allowance. This is a diverse and expanding role involving hands on management of both residential and commercial property. Dealing with all aspects of property management and our client can provide training on the commercial / block side of the role if you only have residential experience.

Key targets are set out in the company strategy and include:

  • Identifying and obtaining new instructions
  • Ensuring rents are collected promptly and forwarded to clients without delay
  • Ensuring service charge reconciliations are carried out within 3 months of year end
  • Properties are well maintained and compliant
  • Work for other services is referred to the appropriate team

Tasks:

  • Main office base will be identified but from time-to-time attendance at other offices may be required, so a flexible approach to location is required. Option to work from home sometimes but ideally at least 3 days a week in the office.
  • An in-depth understanding of all instructions and on obtainment of new instructions protocol must be followed, including making a detailed site inspection and a thorough review of any available information, all leases and available handover notes
  • An ability to self-manage and prioritise own workload as appropriate. Ensuring that rents, service charge and fee accounts are issued to specific dates every month/quarter as appropriate.
  • Keeping up to date records of all correspondence to each client/tenant and good file management
  • Debt management including regular reviews of debtors, liaison with Clients and then taking the required action to recover sums due.
  • Conduct periodic inspections to ensure compliance with leases and the proper upkeep of the property.
  • Service charge budgeting and reconciliation with end of period reports to be issued within three months
  • Key dates must be logged, and any action dealt with on appropriate trigger dates for ongoing matters such as insurance renewals, VAT reporting etc.
  • Regular contact with Landlords & Tenants with regular updates issued to both, where appropriate.
  • Provide excellent tenant service. Respond to tenant requests/problems in a timely and courteous manner and generate work orders directed to vendors or maintenance staff. Follow-up with the tenant to ensure satisfactory resolution of the issue. Ensure that there is 24-hour emergency coverage for the property at all times.
  • Maintenance issues should be remedied as soon as reasonably possible. This may involve out of hours work or calls to/from the company mobile, which should be on and available in case of this scenario.
  • To be responsible for all purchase invoices which are required to be checked, entered onto the appropriate system and then approved for payment as soon as they are received.
  • To complete daily timesheets which must be submitted at the end of each week
