Project Administrator

Our client, a reputable construction firm operating in London and the Home Counties, is looking for an experienced Project Administrator to join the team. The role will play a crucial part in managing the flow of project documentation, ensuring accuracy, compliance, and efficiency. We are looking for a detail-oriented individual with excellent organisational skills, strong communication abilities, and a proactive approach to administrative support.

Due to the location of the offices, candidates applying must own a car and have a clean UK driver's license. Free parking is available.

Key Responsibilities:

  • Provide administrative/secretarial assistance to project teams, including scheduling meetings, managing calendars, and coordinating travel arrangements.
  • Preparing travel arrangements and booking accommodation
  • Assist in the preparation of project reports, presentations, and other documentation as required.
  • Managing documents and scanning into SharePoint
  • Liaise with external parties, such as clients, consultants, suppliers, and regulatory -agencies, to facilitate document exchanges and approvals.
  • Manage incoming and outgoing correspondence, including mail, email, and faxes, and ensure timely response or forwarding to the appropriate parties.
  • Maintain office supplies inventory, reorder supplies as needed, and ensure proper organisation of office equipment and resources.

Key Skills:

  • Proven experience in administrative/secretarial roles, preferably within the construction or engineering industry.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook, SharePoint).
  • Excellent organisational skills and attention to detail, with the ability to prioritise tasks and meet deadlines in a fast-paced environment.
  • Effective communication skills, both verbal and written, with the ability to interact professionally with internal and external stakeholders.
