An exciting opportunity has arisen for a highly organised and proactive Executive Business Assistant to join a dynamic, fast-paced team within the Corporate and Investment Banking Operations division. This role offers the chance to provide critical administrative support to senior-level stakeholders in a corporate environment, based in the vibrant location of Canary Wharf. The successful candidate will be rewarded with a competitive salary of £220 per day.

Business Overview

This role is based in the Corporate and Investment Banking (CIB) Operations division and offers an opportunity to join a dynamic, fast-paced team. The Executive Business Assistant will provide critical administrative support to 2 Managing Directors, 3 Executive Directors, and a small team. This is an on-site role based in Canary Wharf, with a requirement to be in the office five days a week. The role is ideal for someone with excellent organisational skills, the ability to handle multiple tasks, and a proactive approach to supporting senior-level stakeholders in a corporate environment.

Key Responsibilities

  • Diary Management: Coordinate and manage complex diaries for multiple senior executives, ensuring efficient scheduling and time management.
  • Travel Arrangements: Organise comprehensive travel plans, including booking flights, hotels, and transportation while adhering to corporate travel policies.
  • Expense Management: Process and reconcile expenses in a timely manner, ensuring accuracy and compliance with company policy.
  • Meeting Coordination: Arrange meetings, including securing rooms, preparing agendas, managing logistics, and coordinating technology needs for both internal and external events.
  • Administrative Support: Handle incoming calls, correspondence, and emails, prioritising and escalating items as necessary to support effective communication and workflow.
  • Document Preparation: Assist with the preparation of presentations, reports, and other documents as required by the team.
  • Liaison Role: Act as the central point of contact for the team, liaising with internal departments and external stakeholders to facilitate seamless communication and coordination.
  • Office Management: Support general office management tasks, including supply orders, facilities coordination, and other administrative duties as needed.

Skills & Qualifications

  • Experience in Executive Assistance: Prior experience supporting senior executives in a fast-paced environment, preferably within banking, financial services, or corporate operations.
  • Strong Organisational Skills: Demonstrated ability to manage multiple tasks and prioritise effectively, with an emphasis on attention to detail.
  • Excellent Communication: Strong written and verbal communication skills, with the ability to interact professionally with colleagues at all levels.
  • Proactive and Resourceful: Ability to anticipate needs, resolve issues independently, and take initiative in ensuring smooth day-to-day operations.
  • Proficient in Microsoft Office Suite: Advanced proficiency in Outlook, Word, Excel, and PowerPoint.
  • Adaptable and Flexible: Comfortable with changing priorities and able to work under pressure to meet deadlines.
  • Time Management: Effective time-management skills, with the ability to handle competing demands and deliver quality work within deadlines.
