Our client is passionate about delivering first class customer service to all building guests and tenants.
The purpose of this role is to provide first class customer service; welcoming visitors and occupiers to the building as well as managing the daily activity of contractor and 3 rd parties.
You will support the Building Manager in respect of building maintenance, tenant liaison, health and safety, facilities/helpdesk coordination.
The Role
- Meet, greet and announcement of visitors
- Ensuring reception area is always in pristine condition
- Arranging extra services such as transport for tenants as required
- Liaising with tenants via email/telephone to notify of maintenance issues or upcoming works
- Use of Elogbooks Helpdesk to log new jobs
- Carrying out daily building checks and logging any maintenance/cleaning issues with relevant contractors
- Ensuring outside contractors complete work reports/logbooks before leaving site, issuing work permits or liaising with Facilities Manager to obtain work permit
- Updating online compliance system, Riskwise
- Minute taking and typing of notes as and when required
- Compiling and sending out waste and recycling reports for tenants
- Updating meter readings and distributing to the relevant tenants and accounts department
- Assisting with the FM/BM with general duties as and when required
- Sort and distribute internal mail
- Liaising with cleaners to ensure the communal areas and building lobby is kept in a good state of repair and cleaning standards are high
- Completing shift report reviews and reviewing daily patrols completed by site security, raising or following up on any outstanding issues and alerting line manager if required
- Assisting with the organisation of events with communal spaces and driving occupier agreement
Does this sound like you:
- Ideally 2 years' + experience in a self-managed, responsible Receptionist/Front of House or customer service role
- Basic understanding of Property Management industry
- Enthusiastic, passionate with a commitment to delivering exceptional standards of customer service at all times
- Mature, accountable attitude with ability to work independently and demonstrate initiative
- Confident, outgoing personality with a corporate and professional outlook
- Ability to prioritise where necessary
- Good planning and organisational skills
- Excellent communication skills
- Tact, diplomacy and awareness of confidentiality
- Self-starter with the flexibility to undertake a range of duties
- A good working knowledge of Outlook, Word, Excel and PowerPoint
- Acute attention to detail
