A Japanese theatre producing company is setting up a new office in London this autumn and are looking for a PA.
The PA will support the Director of the company (also a Theatre Producer) in establishing the office and general operations for the purpose of presenting various performances globally.
Understanding of Japanese business culture and entertainment, especially musicals, operas, ballet, dancing, and classical music would be beneficial, as well as fluent English and intermediate Japanese for internal use.
Experience living and working in Japan would also be highly advantageous.

TYPE: Temporary, full-time
WORKING HOURS: Monday to Friday, 9:30-17:30 with 1 hour lunch break

  • Please note due to the production between 23 Sept-27 Oct, the working hours will be from 11am to 7pm .at an Off-West End Theatre

SALARY: c£13.50 - £16.40 per hour plus holiday allowance
START: from sometime in September 2024 for 3 months initially with possibility of renewal LOCATION: Central London (5 days in the office or hybrid work would be possible once completing orientation)

PA Main Responsibilities:
-Assisting the Director with secretarial duties such as schedule management, arranging meetings, and preparing meeting materials/presentation using PowerPoint
- Office administration
- Supporting office management operations (preparation of the office rules, various contract procedures, and payment operations)
- Preparation and communication of periodic reports to the head office
- Helping with English translations and proofreading, including e-mails
- General office affairs
- Management and ordering of supplies, office equipment, stationery, first-aid supplies, and general consumables
- Bookkeeping and document management
- Liaising with the building management company, building receptionist, and other companies
- Sending, receiving, and distributing courier services and mail
- Welcoming and handling business travellers from the head office (reservations for restaurants, hotels, vehicles, etc.)
- Arrangement of business trips for expatriates (flight, hotel, vehicle reservation, etc.) and reimbursement of travel expenses
- Assistance with living arrangements for the director (electricity, water, internet, TV license, GP, etc.)
- Confirmation of office representative's e-mail
- Updating the company directory
- Other general administrative duties

PA Ideal Candidate:

  • Solid skills in Word, Excel, PowerPoint & Salesforce
  • Native level of English and intermediate Japanese language (N3) for internal record and communication
  • A good understanding of social, cultural, and business practices in the UK and an ability to work in a way that builds trust with UK companies
  • Flexible, sociable and cooperative attitude, with excellent language, communication and summarisation skills
  • Information-gathering and strong networking skills
  • Reliable character, with the ability to juggle multiple tasks during busy periods and fit in a small team
