Export Coordinator

Reed Supply Chain are partnered with a lovely SME in the Swansea area who are looking to add an Import/Export Coordinator in to their team as a result of growth. Having grown their turnover by £2million in comparison to the previous year, they are looking for someone with imports/exports experience who can take the lead on freight (Sea/Air/Road) process and customs compliance/declarations.

Position Title: Import & Export Coordinator
Location: Swansea Office
On-Site Requirement: Full-time, 5 days a week
Working Hours: 9:00 AM – 5:00 PM, Monday to Friday (flexible start and finish times available)

Key Responsibilities:

  • Promptly communicating with clients upon receiving new shipment requests.
  • Managing various freight methods (Sea/Air/Road) for imports from China and the US, and exports to the UK and Europe.
  • Ensuring accurate preparation and completion of Import & Export Customs Declarations and Delivery documentation using third-party software or Government Portals.
  • Verifying transport dimensions and weights through system checks.
  • Requesting and forwarding quotations from hauliers, agents, and carriers to clients for approval.
  • Booking shipments with hauliers, agents, and carriers, ensuring all client information and paperwork are correctly processed.
  • Coordinating daily with collection and delivery contacts, including hauliers.
  • Securing invoices and proof of delivery.
  • Updating and invoicing jobs to clients, handling both internal and external account queries.
  • Gathering all necessary documentation and information from clients.
  • Communicating various documents to clients, hauliers, agents, and carriers via email.
  • Building and maintaining strong working relationships with clients, hauliers, agents, and carriers.
  • Promptly addressing problems, especially in emergency situations, following established protocols.
