Location: Head Office – Chaneys Chartered Surveyors, Chiltern House, Marsack Street, Reading, RG4 5AP (office based)

Working Hours: 08:30 – 17:00, Monday - Friday

Job Description:

The Accounts Assistant is responsible for providing essential accounting support across a range of accounting functions, daily receipting and allocating of payments, running demands for service charges, entering supplier invoices, dealing with customer accounting queries and carrying out regular administrative tasks.

Key responsibilities and tasks include:

  • First point of contact for directed switchboard calls liaising with leaseholders dealing with payments, balance and general accounts queries.
  • Download BACS report daily, posting onto the property management system against the appropriate tenant.
  • Run monthly/quarterly/yearly service charge demands as applicable through the Propman reporting function.
  • Create demand budget templates for portfolio, allowing the relevant property manager to complete accordingly.
  • Upon receipt of a completed budget, print expenditure report and run demands for the Property Manager to approve and issue direct to client.
  • Carry out tenant recharges, transferring funds to clients within strict deadlines.
  • Investigate and trace missing payments upon request.
  • Processing supplier payments through our batch BACS payment system, providing supplier remittances and filing of paid supplier invoices.
  • Dealing with requests and queries from property managers
  • To generally assist with all other accounts related activities where necessary
  • Applying balancing charges and credits and issuing demands as necessary once the year end accounts are available.
  • Collection of service charges from apartment owners. Arranging repayment plans where appropriate and liaising with third party debt collection agencies.

Qualifications and Skills:

Candidates for this position should have the following skills and qualifications:

  • Ideally have experience in Service Charge Accounting and Property Management.
  • At least 2 years' experience within an office environment.
  • Experience within the finance/accountancy sector.
  • An excellent communicator (written and oral).
  • Personable, with a strength of character to deal with challenging suppliers whilst having a flexible approach to achieve business and/or client needs.
  • Client focussed, organised, self-motivated, with ability to use own initiative and work to tight deadlines.
