Accounts Assistant

We're looking for a proactive, detail-oriented Accounts Assistant to join our finance team on a maternity cover contract to help keep our financial operations running smoothly. You'll play a key role in managing day-to-day finance activities, liaising with suppliers, subcontractors, and internal departments to ensure that invoices, payments, and records are processed efficiently and accurately.

Duties and responsibilities

  • Manage the suppliers email inbox and handle supplier and subcontractor queries.
  • Process incoming supplier and subcontractor invoices, ensuring accuracy and alignment with purchase orders.
  • Handle credit notes and ensure these are correctly logged and applied.
  • Review and verify subcontractor job sheets to confirm completed work.
  • Send completed subcontractor reports to customers for review and approval.
  • Identify jobs that are ready for invoicing and update job statuses accordingly.
  • Forward quotes or job sheets that require further attention to the relevant teams.
  • Raise and investigate invoice queries with suppliers and subcontractors.
  • Reconcile supplier statements to ensure all transactions are accounted for.
  • Maintain and update supplier and subcontractor records in Job Logic and Sage.
  • Raise purchase orders and job records as necessary.
  • Monitor and manage the supplier and subcontractor query list.
  • Generate and submit the weekly Aged Creditors Report to the Managing Director.
  • Provide general administrative and financial support to the Finance Manager.

Experience and qualifications

  • Good understanding of accounts payable processes.
  • Experience in an accounting, finance, or administrative role.
  • Strong attention to detail and organisational skills.
  • Confident in communicating with suppliers and internal teams.
  • Ability to manage multiple tasks and priorities.
  • Proficient in Microsoft Office, particularly Excel and Outlook.
