The Role:

To ensure all fixed asset spend is recorded and reported accurately internally, for management accounts and statutory accounting purposes and externally for compliance requirements.

Capital Projects

  • Maintain and oversee records for the annual allocation of all income related to capital funding.
  • Collate and report all capital income streams allocated to capital spend.
  • Prepare annual summary report for the Finance Board.
  • Collate bids and major projects, report actuals against budget monthly, and submit returns to required deadlines.
  • Maintain monthly capex reports and ensure reconciliation to the nominal.
  • Highlight risks of capital funding that may not be utilized within specific timelines.
  • Ensure invoicing and receipt of capital funding from external bodies via liaison with accounts payable and business partnering teams.
  • Work closely with facilities to develop a long-term capital replacement program and financial forecasting model.
  • Collaborate with the Systems and Projects team to improve monitoring and reporting systems and develop procedural notes.

Fixed Assets

  • Regularly monitor inventory records to ensure they match accounting records.
  • Liaise with the Procurement team regarding asset tagging to ensure records align.
  • Ensure all items are correctly capitalized within month-end reporting.
  • Ensure accurate calculation and forecasting of depreciation for the entire organization.
  • Work closely with facilities on disposals, transfers, and loaning of assets, ensuring correct recording within the asset system.
  • Collaborate with internal and external auditors to ensure assets are correctly capitalized.
  • Produce the year-end Fixed Asset schedule, forecast depreciation, and cash flow.
  • Compile and report on fixed asset policies and roll out training and amendments to policies.
