Procurement Support Specialist

Summary We're recruiting for a Procurement Support Specialist to join us at the National Trust. The procurement team is currently made up of 8 people, spread geographically across the country led by the Head of Procurement.

As Procurement Support Specialist, you'll run various procurement processes to add new suppliers and monitor current suppliers that are critical to the organisation. You'll also provide management information based on the organisation's spend data, looking at ways of improving how we present and share this information.

What it's like to work here The Trust's Procurement Team is a small, commercially focused team, based across the country providing training, guidance and advice on how to buy well and in line with our sustainability and ‘Everyone Welcome' goals. We do most of our meetings virtually, however, we like to meet in person for regular team meetings. You may be required to travel to properties or regional hubs to meet with stakeholders.

Your contractual location will be our head office in Swindon and there will be an expectation for you to attend the office. However, there's flexibility on where you're based at other times. You'll be required to work at a National Trust location for 40-60% of your working week. This will be discussed in more detail at interview.

What you'll be doing You'll be the procurement lead for several processes including setting up new suppliers, monitoring our Key Suppliers and Sanctions monitoring. Working with the team, you'll support on various projects, including the development of key procurement systems.

Acting as the main point of contact with the Finance Data Analytics team, you'll ensure our existing spend and management information reports maintain their accuracy and data integrity and help to specify and develop new reports as needed. Where required you'll also provide guidance and training to other teams on our systems and processes.

You'll be working with the team to manage the queries that come into our mailbox and either answer these yourself or where specialist knowledge is required allocate them to an appropriate member of the team.

We'd love to hear from you if you have:

  • Knowledge of Finance and/or Procurement Systems or the ability to quickly grasp how to use, manage and train others on how to use these systems.
  • Advanced IT skills (Microsoft Office).
  • Excellent analytical skills with high levels of accuracy and attention to detail.
  • The ability to manage multiple tasks, prioritising and meeting deadlines.
  • Excellent quality of written and oral communications.
  • Flexibility to take on new tasks/embrace new ways of working as the team develops and evolves.
  • High degree of self-motivation and ability to work on one's own.
  • Strong collaboration and team working skills.
