Support Administrator

Our client is seeking a Support Admin to provide essential administrative support to our office personnel.

Responsibilities:

  • Process engineer's time sheets, ensuring accurate and timely invoicing and wages calculation.
  • Manage stock levels and place orders for consumable items, negotiating discounts and cost savings whenever possible.
  • Issue supplier purchase orders and monitor budgetary constraints, ensuring that parts are ordered within budget or better.
  • Process orders in line with our goods received process, ensuring accurate matching of purchase orders, delivery notes, and invoices.
  • Facilitate returns of parts, including raising returns notes and ensuring receipt of credit notes.
  • Communicate with the Operations Team regarding the arrival of parts or any potential issues with sourcing parts for projects and engineers.
  • Raise new projects and sales orders, working closely with the Sales team to ensure accurate delivery notes and project documentation.
  • Undertake system administration tasks, including updating customer, project, supplier, and stock information.
  • Manage supplier relationships, including setting up credit accounts and conducting supplier performance reviews.
  • Maintain awareness of company HSE policy, advising management of any noted breaches and assisting with the annual servicing of HSE equipment and PPE.
  • Distribute enquiries to the appropriate sales manager and update the Enquiry Spreadsheet.
  • Remain knowledgeable in all ISO processes and ensure compliance in daily tasks.
  • Undertake additional duties as requested by the Directors, including participation in Boat Shows and other Sales and Marketing tasks.

Qualifications:

  • Proven experience in an administrative support role.
  • Highly proficient in Microsoft Office Suite.
  • Excellent organisational and time management skills.
  • Strong attention to detail.
  • Ability to effectively communicate and collaborate with colleagues at all levels.
  • Knowledge of ISO procedures is a plus.
