The Role:

Our Health, Safety and Training Administrator role is reporting to both the Group Health and Safety Manager as well as the HR Manager. Time will be divided equally between the departments.

You will be expected to:

HR Duties and Responsibilities:

  • To provide accurate and timely HR administration support to the HR Manager and senior management team
  • Add new starter to Staff Skills and Training Matrix.
  • Ensure all training is completed on Staff Skills.
  • Upload all training certificates to HRM, training folders and employee record folder.
  • Assist with training required during probation or following an appraisal.
  • Complete all licence checks for Company vehicle drivers on 6 months or 1 year.
  • Booking all training for Aston Group and being a central contact point for all training queries.
  • Ensuring that all training is up to date at all times to comply with accreditations.
  • Ensure managers are aware of any accreditation expiry dates.
  • Issue all Uniform and PPE and ensure that stock is always available.

Health and Safety Duties and Responsibilities:

  • Oversee subcontractor pre-qualification management system and be a point of contact for internal contract managers and sub-contractors - training will be provided
  • Assistance with accident and incident reporting both internal and external as well as monthly reporting. Guiding site personnel with its usage on Astons Management system - training will be provided.
  • Ordering and issue of PPE, Fire extinguishers and the like, as required by contract management
  • Assist in the co-ordination and minuting of Health and Safety meetings
  • Produce, coordinate, and proactively maintain Health and Safety planner to ensure routine tasks are completed within required timescales
  • Support Health and Safety Manager to ensure all new starter Health and Safety inductions are completed
  • Oversight of Calibration and maintenance and Equipment registers
  • Booking and keeping track of PAT testing records to ensure that this is planned in with relevant contract managers

The Candidate:

To be considered for our Health, Safety and Training Administrator role, you will have the following skills and experience:

Skills:

  • Good communication skills both verbal and written
  • Attention to detail and accuracy
  • Knowledge of safety process is desirable but not essential
  • Work systematically and accurately in a busy environment.
  • The ability to establish and maintain effective, professional working relationships with internal and external stakeholders
  • To be able to work as part of a team
  • It is a requirement that a valid full clean driving licence is maintained.
  • Intermediate to advanced level in Microsoft Word, Excel, Outlook
  • Intermediate skills in Microsoft PowerPoint

Experience:

  • Previous experience within an administrative role
  • Have experience of working in a fast-paced, confidential environment

Qualifications:

  • GCSE Level Maths and English
  • Administration qualifications
  • IOSH qualification is desirable but not essential
  • Nebosh qualifications desirable but not essential
