A lovely opportunity working for a company based in Avonmouth for a full time permanent Works Administrator. The company offer a flexible working hybrid policy after probation.

A Property Works Coordinator is a central part of any company. They ensure the office operates smoothly by managing varied responsibilities that keep Operational Teams running.

Property Works Coordinator perform several administrative functions and customer service-related tasks that assist the overall function of the Operational environment. They include, distributing reactive client KPI driven FM works orders, reporting and following up with various departments to ensure all stakeholders have the most relevant information.

Property Works Coordinator will have excellent time management skills as they work in a highly KPI controlled environment. Organisation and adaptability are also important skills to have as they are necessary in the day-to-day organisation of the Operations Team. Excellent communication skills, both verbal and written, are required due to the amount of interaction and cross department working.

Property Works Coordinator interacts with various employees in almost every department, they can report directly to Supervisors, Operations Managers, Commercial Quantity Surveyors and various department leaders, there will also be intermittent interaction with external stakeholders.

  • Work to agreed Reactive and Project Contract Framework KPIs, coordinate and allocate reactive FM Work Orders received by the client and distribute to internal Area Supervisors.
  • Collectively work with Coordination Team to facilitate the Emergency calls from external stakeholders, work with other Property Works Coordinators to manage a Microsoft Teams Call Group.
  • Follow office workflow processes and procedures to ensure maximum efficiency.
  • Maintain files and records with effective electronic filing systems, track and coordinate and accurately process Supervisor reports and Daily Record Sheets, upload records to external stakeholder portals in KPI directed timeframe.
  • Electronically coordinate and administrate information through the End 2 End Management system.
  • Coordinate and negotiate applications for extensions of time & interim costs on work orders with external stakeholders upon request from Operations and Commercial persons, support Quantity Surveyors to qualify cost capture before the finalisation of Work Orders.
  • Support the other Property Work Coordinators with various administrative tasks (redirecting calls, overflow tasks etc. during high volume periods).
  • Assist in stakeholder relationship management. Provision of administrative support to Operations team.
